General Ledger

Every decision in your business — pricing, hiring, what you can afford to spend next quarter — rests on numbers you can trust the moment you look at them. Greentree’s General Ledger module gives your finance team that: live reporting trees for multiple views of the same data, a chart of accounts built around how your business actually works, and a direct Excel connection so reporting doesn’t mean exporting and rebuilding by hand.

  • Multi-level reporting trees
  • Flexible chart of accounts
  • Account short codes
  • Budget management and tracking
  • Posting into future and prior periods

Dynamic reporting structures

Build as many multi-level reporting trees as you need, grouping and summarising ledger data however makes sense for your business — by business unit, region, management structure, or product line — without re-entering anything.

Once a tree is set up, it’s available directly from Excel, so your team can analyse any financial period by account, by segment, or by cost centre without going back to IT each time.

Because the structure is entirely yours to define, it can flex as the business changes rather than forcing you to redesign your reporting from scratch.

Flexible accounting structure

Your chart of accounts should reflect how your organisation is actually structured, not a generic template. Define account codes — up to 30 characters, across as many as 16 segments or levels — that map onto your own business or group.

Not every company or business unit has to use every segment. You choose which levels apply where, so smaller entities aren’t forced to carry structure they don’t need.

Budget management

Run as many budget versions as you need side by side, and lock individual years once they’re approved so finalised figures can’t be changed by mistake.

Budgets can be built and edited in Excel and synced back to Greentree automatically, so your finance team works in the tool they already know.

On-line enquiries

Look up any period — past, present, or future — on screen, with drill-down from a summary view right down to individual transactions or data-entry batches.

Because postings anywhere in Greentree hit the General Ledger immediately, you’re always looking at current figures, including items that haven’t been finalised yet.

External journal updates

Feed journals in automatically from other systems — payroll, billing, or anything else that needs to post to the ledger — using an import format built around how that system exports its data. Once it’s set up, updates can run on whatever schedule suits you.

Journal entry

Post journals through Greentree’s own entry screen, or build them directly in Excel first — useful for anything that needs financial modelling, like accruals — then push them straight into Greentree when you’re ready.

Recurring journals

Set up recurring journals and accruals once, on whatever cycle your business runs. Mark an accrual as auto-reversing and it will post, then automatically reverse itself out in the following period — no need to remember to undo it by hand.

Future and prior periods

Post into a period that’s already closed or one that hasn’t started yet, depending on what each user is allowed to do. That flexibility matters most at year-end, when prior-period corrections and future accruals both need to go in — and reports can simply be reprinted once everything’s posted.

Account short codes

A long chart of accounts is hard to remember by number alone. Set an optional short code against any account — for example, “BANK” for a bank account — so your team can find and post to it quickly, without needing a printed chart of accounts on hand.

F.R.E.E. — reporting directly in Excel

F.R.E.E. is Greentree’s Excel add-in, and it solves a problem most finance teams know well: getting live figures out of the accounting system and into the spreadsheets people actually build reports in, without printing, re-typing, or exporting to a text file first.

With F.R.E.E., the connection runs both ways and reports update as the underlying data changes, so what you’re looking at is never a stale snapshot — and because it’s built on standard Excel, your accountants keep full control over formatting and structure.

Personal executive information system

For teams who want to go further, Excel’s own tools — macros, Visual Basic, and the rest — can be used to build a bespoke executive information dashboard on top of the live Greentree connection, tailored to whatever your organisation needs to see.

Posting journals

Calculate and post journals from Excel straight into Greentree in real time, including auto-reversing accruals calculated from live Greentree figures. Anything posted this way can still be edited back in Greentree afterwards if it needs adjusting.
