Fixed Assets
Fixed Assets are easier to manage when you always know where they are and what they're worth. Greentree's Fixed Assets module ties tax, depreciation and capital planning together, so you can plan purchases and disposals around accurate, current figures rather than guesswork.

- Multiple depreciation methods, set per asset
- On-screen access to full asset history
- Forecasting for future asset movements
- Flexible asset grouping and sub codes
- Serial number and location tracking
- Insurance details tracked per asset
- Data import and update via Microsoft Excel
Fully Integrated With Your General Ledger
Greentree’s Fixed Assets module sits fully integrated with General Ledger, so purchases, depreciation, disposals and revaluations show up in the financial accounts immediately rather than after a batch update. Asset purchases can be entered straight through Accounts Payable, cutting out duplicate data entry, and if Job Costing is in use, depreciation can post to a job on a per-asset basis — handy for tracking individual plant items on an income-and-expense basis.
Depreciation, Handled However You Need It
Greentree calculates and maintains two sets of depreciation figures at once — one for accounting purposes that feeds straight into General Ledger, and one for tax reporting. Assets can be depreciated on a straight line or diminishing value basis, decided per asset, so the same item could run diminishing value for tax and straight line for accounting.
Depreciation recovered, offset depreciation on a replacement purchase, and capital profit or loss on disposal are all calculated and managed automatically, and depreciation itself can run daily, monthly, half-yearly or annually, with different rates applying from different effective dates as required.
Every Asset's Full History, On Screen
Knowing exactly where an asset is and what it’s worth shouldn’t take digging. Greentree’s enquiry facility summarises the complete financial history of each asset, for both accounting and tax depreciation, and lets you drill down from the transaction history straight to the source document — a supplier invoice, for instance.
Model Asset Movements Before They Happen
Planning how assets move in and out of the business over future periods can move the needle on your budgets — depreciation values and capital gains or losses both shift with it. Greentree’s forecasting facility lets you run ‘what-if’ scenarios on asset movements, and factor in changes like a new government depreciation schedule landing mid-year.
Asset Groups That Make Reporting Simpler
A flexible, multi-level grouping structure lets you organise assets into logical areas — vehicles, plant, office and so on — each with its own sub-levels. Reporting gets easier because depreciation rates, methods and General Ledger posting accounts can all be set at group level.
Smaller items, like office chairs, can be managed as a single grouped asset rather than tracked individually, cutting needless paperwork, while quantities on any asset can be increased or reduced at any time. For larger assets made up of several components that need tracking and depreciating separately — a computer system’s screen, keyboard and processor, say, each with its own serial number — Greentree lets you assign a sub code to each component so they can be managed and moved independently.
Know Where Every Asset Is, At All Times
Each asset can carry a serial number and location, both reportable on the asset list, and belongs to a profit centre that can default account segments when values update to General Ledger. Assets can be moved between locations individually or in bulk, with depreciation always reflected against the correct profit centre, branch, department or division.
Insurance Details, Tracked Per Asset
Insurance details can be tracked against each individual item and called up when needed — useful day to day, and especially useful when you need to make a claim and don’t want to go hunting for policy details.
Update Fixed Assets Straight From Excel (F.R.E.E.)
Greentree lets you create Fixed Assets masterfiles and transactions directly from Microsoft Excel, with all of Greentree’s database validation rules and user security still enforced — so the data flow from Excel stays secure. It’s commonly used to bring Fixed Asset data across from legacy systems, or to let remote users process transactions and adjustments through Excel templates.
